Promising Practices From Local Pilot Areas
Area 1
Download: Organizing Files & Proper Documentation [WORD]
Presenters: Karen Darlington and Alice Leonard (Workforce Connections)

Presenters discussed the file organization and documentation required for Area 1's process and approval of WIA - Trade Training Contracts. Each Pilot area was given a "dummy" file to use as a resource that follows the attached checklist. Every WIA - Trade file in Area 1 follows this format to ensure information is readily available to anyone reviewing the file. This promising practice was identified as being extremely helpful when multiple program staff are involved in a case (e.g. separate program processes) and for file reviews and state/federal monitoring purposes.

Note: The above checklist has been attached in Word to allow for the modification and use by other pilots.

Area 7
Development of System Wide Policies & Processes PDF
Presenter: Keith Hyde (The Five Star Job Centers of Southwest Ohio)

Details the timelines, process and benefits gained through the development of system wide policies for the Five Star Job Centers 5 county pilot area. This promising practice was identified as being beneficial for all pilot areas, but especially useful for multi-county pilot areas.

See additional links below for a file content checklist, common assessment tools, and the meeting notes the Five Star Regional Advisory Council:

Area 7
Program Integration and Forms Approval PDF
Presenter: Stephanie Kowal (Northcoast Jobs Connection)

Focuses on the steps and attitudes needed (as identified by Northcoast Jobs Connection) for successful program and forms integration. See "Additional Links" below for the list of state approved WIA/Trade Northcoast forms.

Area 3
Integration of Staffing & Forms Approval PDF
Presenters: Mike Longo and Vickie Cook (Employment Connection)

Defines "integration" and details Area 3's customer flow and ITA Request process. In Area 3 program staff are fully integrated and function as Case Managers. Case managers are cross-trained in all programs and are randomly assigned customers. Area 3 was able to eliminate four (4) forms through the modification process. See "Additional Links" below for the list of assessment tools, Waiver Tracking spreadsheet (includes instructions), and state approved WIA/Trade Employment Connection forms.
